These Terms & Conditions govern your use of the Waypoint Adventures website and the tours and products we offer. By booking a trip or purchasing a product from us, you agree to these terms.
1. About us
Waypoint Adventures (Pty) Ltd is a South African tour operator. Contact details are in the footer of every page.
2. Bookings
- A booking is confirmed only once we receive and reconcile your deposit or full payment, and issue a written confirmation (email or portal message).
- All booking information you supply — passenger names, ID or passport numbers, dietary and medical details, emergency contacts, vehicle details — must be accurate and complete. We rely on this information to run the tour safely and to meet border and legal requirements.
- Bookings are per person, per pricing tier (sharing or single supplement) as displayed on the trip page at the time of booking.
- Children's pricing (where offered) applies to children aged 6–12 (half price) and under 6 (free), unless otherwise stated on the trip page.
3. Payment
- Deposit due at time of booking as stated on the trip page. Balance due by the date on your invoice — typically 60 days before departure unless otherwise stated.
- Payment methods: PayFast (card), PayPal (international card), or EFT to our nominated bank account. Cash payments are accepted only at our office and only for arranged pickups.
- All prices are quoted in South African Rand (ZAR) unless the trip page specifies otherwise.
- Prices are subject to change until your booking is confirmed. Once confirmed, your booking price is fixed subject to section 4 below.
4. Price changes and surcharges
Where a trip is priced significantly on external factors we do not control (fuel, park fees, exchange rates, government levies), we reserve the right to pass on unavoidable increases. We will notify you in writing as soon as we become aware of any surcharge, and you may cancel and receive a refund of amounts paid (less non-refundable third-party costs already incurred on your behalf) if the surcharge exceeds 10% of the trip price.
5. Cancellation and refunds
See our separate Refund Policy for the full cancellation schedule and refund terms.
6. Passports, visas, and border requirements
- You are responsible for holding a valid passport (with at least 6 months' validity beyond your return date and enough blank pages), any visas required for the countries visited, and any vaccinations or health documents required at each border.
- Where a trip crosses into a malaria area, we will notify you in advance so you can consult your doctor about prophylaxis. We are not medical practitioners.
- We are not liable if you are denied entry to a country because of incomplete or invalid travel documents.
7. Insurance
Comprehensive travel insurance covering medical evacuation, personal accident, cancellation, and personal belongings is mandatory on all our trips. You must supply proof of insurance before departure. We reserve the right to refuse boarding if proof is not provided.
8. Vehicle and equipment (self-drive)
- On self-drive tours you are responsible for your own vehicle. Where the trip requires 4×4, high clearance, or specific recovery gear, this is stated on the trip page. You must ensure your vehicle meets the requirements.
- Wear and tear, punctures, mechanical failures, and recovery costs remain your responsibility.
- We may refuse or remove any vehicle from the convoy at our discretion if we consider it unsafe or unsuitable for the route.
9. Conduct on tour
Our tours run on a group basis. You agree to follow reasonable instructions from the tour leader on matters of safety, timing, and driving discipline (convoy speed, gap keeping, radio protocol, camping conduct). We reserve the right to remove any participant from a tour, without refund, whose behaviour we consider unsafe, disrespectful to other participants or to local people, or in breach of the laws of the country visited.
10. Liability
- Adventure travel carries inherent risks — driving on difficult terrain, wildlife encounters, remote locations with limited medical facilities, weather. By booking with us you acknowledge these risks and accept them.
- Where we act as agent for third-party accommodation, guides, activities, or transport, we take reasonable care in selecting those providers but are not liable for their acts, omissions, or defaults.
- To the extent permitted by law, our total liability for any claim arising from a booking is limited to the amount you paid us for the affected trip.
- Nothing in these terms excludes liability that cannot be excluded by law.
11. Intellectual property
All content on this site — text, images, trip descriptions, itineraries, videos, LET'S GO briefings — is the property of Waypoint Adventures or used with permission. You may not reproduce or republish it without our written consent.
12. Data protection
How we handle your personal information is set out in our Privacy Policy.
13. Governing law
These terms are governed by the laws of the Republic of South Africa. Any dispute will be resolved in the appropriate South African court.
14. Changes
We may update these terms from time to time. The date at the top of the page shows when they were last changed. Continued use of the site or booking with us after a change means you accept the new terms.
